Teams and projects

Bring in the people who handle your inquiries, and group forms by client, service, location or campaign.

Free: up to 3 Members. Pro: up to 10, more on request.

Group forms into projects

  1. Open Forms and choose Manage projects (Organise forms into projects if you have none yet).
Projects: Branding clients with 2 forms, Website and Workshops with 1 form each, each with Choose forms, Rename and Delete, the New project button, and Ungrouped: 2 forms aren’t in a project.
  1. Choose New project, enter a Project name and choose Create project.
  2. Select Choose forms beside the project, tick its forms and select Save forms.
  3. Choose a project in the Project list to show only its forms in Forms, Inbox and Insights.

Each form is in one project or in Ungrouped. Moving a form takes its inquiries and Insights history with it. Deleting a project keeps its forms: they become Ungrouped. Projects don’t change form links, notification emails or connected apps, and they don’t limit access: everyone in your account sees every project.

One inbox for every form

Inbox lists inquiries from all your forms, or from one project, newest first, with the same filters, search and actions as a form’s own inbox. Each row names the form it came from. To export, the account owner can choose Export all inquiries at the bottom of Inbox, or open a form and choose Export inquiries.

The makeform.live Inbox: five inquiries to Contact Studio Fern from Alex Rivera, Jordan Lee, Sam Okafor, Priya Nair and Lena Ortiz, with Priya’s marked Handled, and the filters All, Not handled, Handled and Spam.

Invite Members

  1. Open Settings → Team as the account owner and choose Invite a member.
  2. Enter their email and choose Send invitation.
Invite a member: the Email field with mia@example.test, the note Members see the whole account, and Send invitation.
  1. The person signs in with that email to join; this doesn’t create a separate account or change any account they already have.

An invitation goes to one email address and is valid for 7 days. Send again replaces the link, and Withdraw stops it. If you belong to more than one account, switch between them from the account menu.

Members don’t receive new-inquiry emails automatically. To send them notifications, add their email to a form’s Settings → Notifications.

If a form’s privacy notice says only you handle inquiries, update it in that form’s Settings → Privacy and publish the form again.

How many Members can I invite?

Free includes up to 3 Members and Pro up to 10. Pending invitations count; the owner doesn’t. On Pro, if you need more, choose Request an increase in Usage and tell us why.

Who can do what

WhoWhat they can do
MembersSee and manage every form, inquiry, project and Insights report in the account, including visitors’ messages, and see who else is in the team.
Account ownerEverything Members can do. Only the owner can:
  • change billing or the team
  • delete the account
  • delete forms or inquiries that aren’t in Spam
  • shorten how long inquiries are kept
  • export the whole account
  • find one visitor’s inquiries
  • manage connected apps or alerts
  • change the account’s default notification email or recovery email
  • change the saved business details

Removing someone, or leaving

Removing a Member ends their access straight away, on every device, and we try to email them to let them know. Anything they already read, exported or received by email can’t be taken back.

Notification emails to their address, and server API keys they created, keep working until you change them; the Remove dialog lists them.

Members can leave from Settings → Team.

If the account owner is leaving the business

Each makeform.live account has one owner, and it can’t be moved to someone else. Before the owner leaves:

  1. Prepare and save the full account ZIP, or export only the inquiries you need (Settings → General → Your data).
  2. Send notifications to an address the business keeps (Settings → General → Default notification email, and each form’s Settings → Notifications).
  3. Stop Pro if it’s no longer wanted: it’s charged to the owner’s payment method, and the owner cancels it in Plan & billing → Manage billing.

The owner can keep the account or delete it. Tip: sign in as the owner with an email address that stays with the business, and add a recovery email in Settings.

Download before closing an account

Only the owner can prepare a full account ZIP in Settings → General → Your data. You can leave the page while it is prepared and return to download it. The manifest lists included records, prepared files, checksums and exclusions. Secrets, staff records and expired, deleted or restricted answers are excluded. The temporary signed-in download lasts at most 24 hours, can end earlier after a privacy or security change, and is separate from the inquiry-only JSON export. Save your ZIP before deleting the product account: deletion ends access to it. Neither download closes your account or deletes your makeall.live sign-in.

Can’t reach your sign-in email?

Email contact@vlomkatsolutions.com. If you added a recovery email in Settings, we’ll write to that address to check it’s you. If not, we’ll try to call your business on a number we find ourselves, such as the one on your website. After recovery, everyone is signed out and you invite your Members again. We never ask for sign-in codes, passwords or card numbers.
